How to Write Emails Faster with Voice Dictation

How Professional Email Mode Works
When you dictate with Professional Email mode active, HyperVoice:
- Transcribes your speech locally using AI
- Sends the transcribed text to your configured AI provider
- The AI rewrites it as a well-structured, professional email
- The formatted email is pasted at your cursor
You might say:
“Hey can you let the team know that the deadline for the Q2 report is moving to next Friday because we’re still waiting on data from the analytics team, and also remind them that the template is in the shared drive”
And get back something like:
Hi team,
I wanted to let you know that the deadline for the Q2 report has been moved to next Friday. We’re still waiting on data from the analytics team, and we’ll need the extra time to incorporate it.
As a reminder, the report template is available in the shared drive.
Thanks,

Where It Works
HyperVoice pastes text at your cursor in any Windows application. That means Professional Email mode works in:
- Outlook (desktop and web)
- Gmail (in any browser)
- Thunderbird
- Yahoo Mail, ProtonMail (in any browser)
- Any email client with a text compose field
Click into the compose field, hit Ctrl + Shift + Space, speak your email, and it’s done.

- None — When you just want raw transcription (useful for drafting in your own style)
Switch between modes with one click on the Record tab.
Tips for Better Email Dictation
- State the recipient context first. “Email to my manager about…” or “Reply to the client about…” helps you frame the right tone as you speak.
- Don’t worry about structure. Professional Email mode handles paragraphs, greetings, and sign-offs. Just speak the content.
- Use Push to Talk for short replies. Hold the hotkey, say “Sounds good, let’s go with option two and I’ll send the updated timeline by end of day,” release. Done.
- Review before sending. The AI does a great job, but always skim the output before hitting send — especially for high-stakes emails.
Setting Up a Provider
Professional Email mode requires an AI provider to rewrite your text. You have two options:
- Bring Your Own Key — Use your own API key from your preferred provider. Available to all license tiers. Set it up in Settings > Processing.
- HyperVoice Cloud — Our hosted processing service, available with a Pro subscription. No API key needed.
Once a provider is configured, select Professional Email from the mode cards on the Record tab and start dictating.
